What Moments Analytics is, and who uses it

The platform in one page: what it does, the four portals, and who uses each one.

Moments Analytics runs brand activations from start to finish: product tastings, sampling, in-store promotions and roadshows. It helps you plan them, run them on the ground, and prove what happened.

  • Plan: set up a campaign, its activations, the promoters, the products to sell, the promo items to give away (samples, merchandise and prizes), and the games.
  • Run: promoters record every sale, free sample and game at the stand, on their phones.
  • Prove: the results appear live in reports for your team and the brand. You can download them as a PDF to share.

The four portals

Moments Analytics has four parts, called portals. Each person uses the one for their role.

Admins, managers and brand viewers sign in with their email and password. Promoters sign in with their phone number and a code sent by SMS. Shoppers don't sign in at all.

For everything each role can and can't do, see The roles, explained.

Agency or brand?

An account belongs either to an agency that runs activations for several brands, or to a brand that runs its own. See Agencies and brands.

What happens, start to finish

  1. An admin signs up and adds the team.
  2. An admin or manager creates a campaign and its activations, with products, promo items and games.
  3. On the day, promoters sign in on their phones and record each sale, sample and game.
  4. Everyone with access follows the results live, and downloads the report at the end.

See How a campaign works for the details.

2 of 10 · 1. The basics

Agencies and brands

The two kinds of account, what changes between them, and which one you are.

Every account in Moments Analytics belongs to one of two kinds of organisation. You choose which when you sign up.

An agency

A marketing or activation agency that runs campaigns for several brands, its clients.

  • The agency adds each brand it works for.
  • The agency's own team does all the work: its admins, managers and promoters.
  • A brand run by an agency can't have its own admins, managers or promoters. Its people can only be brand viewers, added by the agency's admin. They follow the results and change nothing.
  • The agency pays for one plan, which covers all its brands. The plan sets how many brands can be active at the same time.

A brand on its own

A brand that runs its own activations, with no agency in between.

  • The account is the brand, so there are no other brands to add.
  • The brand has its own team: brand admins, brand managers and brand promoters.
  • People in the brand who only need to follow results, for example a marketing director or someone in finance, are added as brand viewers by the brand's admin.
  • The brand pays for its own plan. Brand plans are separate from agency plans.

Which one am I?

  • You're an agency if you run activations for brands that pay you to do it.
  • You're a brand if the products are yours and your own team runs the activations.
  • You're a brand viewer if you only need to see the results, for example because an agency runs your activations. You don't sign up: an admin adds you.

Moving a brand

A brand can move from one agency to another, join an agency, or leave one to stand on its own. To do this, email support@momentsanalytics.com. The Moments Analytics team makes the move.

WhatWhat happens
Campaigns, activations, sales and promo itemsMove with the brand, so whoever runs it next sees its history
Invoices, payments and rentalsStay private to the brand. A new agency only sees billing from the day the brand joined
Joining an agencyThe brand's own admins, managers and promoters become brand viewers. Its own plan ends, and the agency's plan covers it
Leaving to stand aloneThe brand starts a free trial of a plan and needs its own brand admin

3 of 10 · 1. The basics

The roles, explained

Every role in Moments Analytics: who it's for, what it can and can't do, where it signs in, and who adds it.

Everyone in Moments Analytics has one role. It decides which portal you use, what you see and what you can change. If you're not sure which role to give someone, read this page first.

Each role below exists for agencies and for brands that run their own activations. The agency and brand versions do the same job, within their own organisation.

Admin

Agency admin or brand admin: the person who runs the account.

  • Who it's for: the owner or lead of the agency or brand, usually one or two people.
  • What they do: everything a manager does, plus:

    • add and manage everyone on the team, including promoters and brand viewers;
    • agencies: add and edit the brands they work for;
    • the plan, payments, add-ons, SMS packs, invoices and rentals;
    • the business details, the audit log, and requiring two-step sign-in for everyone.
  • Signs in to: the Admin Portal, with email and password.
  • Added by: themselves when they sign up, or another admin of the same agency or brand.

Manager

Agency manager or brand manager: the person who runs the work day to day.

  • Who it's for: account managers and activation leads.
  • What they do:

    • create and run campaigns, activations and games;
    • choose which promoters work on each activation, and restock;
    • pause, resume, complete or cancel activations and campaigns;
    • check sales and promo items, and approve or reject promoters' corrections;
    • read reports and download them for the client.
  • What they can't do: add or change people (including promoters), billing, rentals, business details or the audit log. Agency managers can see the agency's brands, but not add or change them. If they open one of these pages, they see Access Denied.
  • Signs in to: the Admin Portal, with email and password.
  • Added by: an admin.

Promoters are told to ask "your manager" when something needs changing. That's this role.

Promoter

Agency promoter or brand promoter: the person at the stand.

  • Who it's for: brand ambassadors, merchandisers and sampling staff.
  • What they do:

    • record sales, and edit or void their own sales on the same day;
    • ask for a correction to an earlier day's sale;
    • give product samples and brand merchandise;
    • set up game screens, unlock games and hand over prizes.
  • What they can't do: see other promoters' sales, change prices or stock, or work on an activation they haven't been added to. They can only record while the activation is running.
  • Signs in to: the Promoter Portal on their phone, with their phone number and a code by SMS. No password.
  • Added by: an admin. A manager then puts them on activations.

Brand viewer

Someone who follows a brand's results and changes nothing. There are two kinds of brand viewer:

  • The client of an agency: the brand's marketing team, who want to see what the agency is doing for them. The agency's admin adds them.
  • Someone inside a brand that runs its own activations: for example a marketing director, sales head or finance, who need to track results but take no part in running them. The brand's admin adds them.

What a brand viewer gets:

  • One brand only: its dashboard, its campaigns and every report, live.
  • The client version of reports: no promoter names on the map, and none of the team's internal notes. Shoppers' phone numbers are never shown.
  • Downloads: each report as a PDF or Excel.
  • Notifications: when an activation starts, when it ends, and when a campaign ends.
  • Signs in to: the Viewers Portal, with email and password.
  • Cost: brand viewers are unlimited on every plan. Adding one never uses a paid seat.

Moments Analytics staff

The Moments Analytics team (super admins and platform admins) help customers, record payments made outside the website, run rentals, set up Enterprise plans, lend Mystery Boxes and move brands. They can see campaigns, activations and games, but don't change them.

Shopper

A member of the public at the stand. Shoppers have no account and never sign in. They're known only by the phone number they give the promoter: for a sale, a free sample, or a game.

4 of 10 · 1. The basics

Who sees what

Which brands, activations, sales, phone numbers and billing each role can see.

What you can see depends on your role and on which brand or agency you belong to.

Brands and activations

RoleSees
Agency admin and managerEvery brand the agency runs, with all their campaigns and activations
Brand admin and managerTheir own brand, with all its campaigns and activations
Brand viewerOne brand, with all its campaigns and activations, read-only
PromoterOnly the activations they've been added to

Sales and promo items

RoleSees
Admins and managersEvery sale and promo item, with the shopper's phone number and the promoter who recorded it
Brand viewerThe totals and reports. Never a shopper's phone number
PromoterOnly their own sales. A promo item still waiting for its code can be finished by any promoter on the same activation

Reports

Admins and managers see the full report. Brand viewers see the client version: the same figures, but the map doesn't name promoters, and the team's internal notes are left out. For example, "Kofi hasn't recorded anything today" is shown to the team, not to the client.

Billing

Only admins see the plan, payments, invoices and rentals. Managers, promoters and brand viewers don't.

An agency sees the billing for its brands only from the day each brand joined it. See Agencies and brands.

How far back

How many months of results you can see depends on your plan. Older campaigns and activations are kept, and come back into view if you move to a plan with more history. See Plans, trials and limits.

5 of 10 · 2. How it works

How a campaign works

Campaigns, activations and what's inside them, their statuses, what gets recorded, and how results are counted.

The building blocks

Brand
 └─ Campaign             e.g. Sunny Malt Summer Refresh, 1 Oct – 30 Nov
     └─ Activation       e.g. Accra Mall Tasting & Sales, 15 Oct – 14 Nov
         ├─ Locations where it happens (one or more)
         ├─ Promoters     who works there
         ├─ Products what's sold, with stock and prices
         ├─ Promo items what's given away: samples, merchandise, game prizes
         └─ Games Spin the Wheel, Trivia, Mystery Box
  • A campaign is a brand's promotion as a whole, with its dates, goal and targets. Its report adds up all its activations.
  • An activation is the work on the ground: one event or run of days, in one or more places. Its dates must fit within the campaign's.
  • A promoter can be on more than one activation, but not on two whose dates overlap.

Statuses

Activations

StatusWhat it meansWhat promoters see
DraftStill being set upNot launched yet. They can't record anything
Active, before its start dateReady, waiting for its start dateNot started yet
Active, between its datesRunningEverything works
InactivePaused by a managerPaused. They can't record anything until it's active again
CompletedOver. Its promoters are free for other activationsEnded
CancelledCalled offCancelled

An activation also ends by itself after its end date. Days run from midnight to midnight, Ghana time.

Campaigns: Active, Paused, Completed or Cancelled. Pausing, completing or cancelling a campaign does the same to all its activations. See Edit, pause, end or cancel a campaign.

What gets recorded

At the stand, promoters record:

  • Sales: the products, how they were paid, the buyer's phone number, and their ratings.
  • Promo items: a sample or merchandise, handed over when the shopper's SMS code is entered.
  • Game plays: who played, and what they won.
  • Where: the promoter's location at that moment, if their phone allows it.

Everything appears in the reports straight away.

How results are counted

FigureHow it's counted
People reachedEach different phone number that bought something, was given a promo item, or played a game. Someone who does all three, or comes back, counts once
RevenuePaid sales only. A sale waiting for payment, voided or failed doesn't count
Promo items collectedOnly those handed over with the shopper's code. An expired or cancelled one doesn't count
RatingsThe stars buyers and shoppers give when a sale or promo item is recorded
Did trying it lead to buying?The same phone number, from a sample or a game to a paid sale, in the same activation or anywhere in the campaign

Targets

Each activation has targets, such as people reached and revenue. Reports show where each one should be by now, and whether it's on track, ahead or behind. A campaign's targets add up its activations'.

6 of 10 · 2. How it works

Notifications and emails

What each role is told about, in the app and by email, and why you can't turn them off.

Moments Analytics tells each person only what concerns their role. Everything shows under the bell in your portal. Security and billing notices also arrive by email.

Notifications can't be turned off. They're kept to what you need to act on, and they're the same for everyone with the same role.

Promoters

In the Promoter Portal:

You're told when…For example
You're added to an activation, or taken off one"You've been added to Accra Mall Tasting & Sales"
Your activation starts tomorrow (in the evening)"Accra Mall Tasting & Sales starts tomorrow at Accra Mall"
An activation you're on is paused, or back on"… is paused. Don't record sales or promo items until it's back on"
Stock is running low, or has run out"Only 5 Sunny Malt 330ml left"
Your manager approves or rejects your correction"Your correction was approved: the GH₵ 20.00 sale is voided"

Admins and managers

In the Admin Portal:

You're told when…When
An activation starts today, with a warning if it has no promotersIn the morning
Promoters at a live activation haven't recorded anything yetAt midday
Stock is running low, or has sold outAs it happens
A promoter voids a sale, or asks for a correctionAs it happens
An activation or campaign has endedAs it happens

Admins only are also told about:

  • the team: someone is added, removed, suspended, reactivated, or given a new role (not when you did it yourself);
  • the plan: you're near a limit or have reached one, the trial is ending or has ended, a payment is in its grace period or final reminder, or the plan has expired.

Brand viewers

In the Viewers Portal, brand viewers are told when one of their brand's activations starts, when it ends, and when a campaign ends, so they know when the results are ready.

About your own account

Everyone except promoters is told, in the app and by email, when:

  • your password is changed or reset;
  • your sign-in is locked after too many wrong passwords (it unlocks in 15 minutes);
  • two-step sign-in is turned on or off, new recovery codes are made, or a recovery code is used;
  • you're signed out everywhere.

If you didn't do it, change your password straight away and tell your admin.

Anyone is told when their role changes or their account is active again.

Emails about the plan

The plan's emails (trial reminders, renewal reminders, receipts, late payments, limits and SMS) go to the organisation's email address and to every admin. Managers don't get them.

For the full list of SMS and emails, and how to tell they're really from us, see Every SMS and email we send.

Someone isn't getting them

  • Suspended or deactivated accounts get nothing until they're active again.
  • Emails: check spam, and check the email address on the person's account. An admin can correct it in Users.

7 of 10 · 2. How it works

Shoppers, privacy and data

What's kept about shoppers, why only their phone number is asked for, and who can see it.

Shoppers are the people at the stand who buy, try a sample or play a game. They have no account and never sign in.

What's kept about a shopper

Only their phone number. No name, age, gender, email or address is asked for or kept.

With the phone number, Moments Analytics keeps what happened at the stand:

  • what they bought and how they paid;
  • the promo items they were given, and the games they played and won;
  • the stars they gave, if they rated the product.

Why the phone number

The phone number lets the platform:

  • send codes: promo item codes, prize codes and game links arrive by SMS;
  • keep things fair: one product sample per person in each activation, and a limit on how often each person plays a game;
  • count people, not visits: someone who buys, tries a sample and plays counts once in People reached;
  • show whether trying led to buying: the same number, from a sample or a game to a paid sale.

What shoppers are sent

Only messages they asked for at the stand: their promo item code, their prize code, or their game link. Moments Analytics doesn't send shoppers marketing messages. See Every SMS and email we send.

Before a promoter unlocks a game, they must tick that the shopper agreed to get the game SMS.

Who can see a shopper's number

RoleSees the number?
Admins and managersYes, on sales and promo items, and in their Excel downloads
PromotersOnly on the sales and promo items they record
Brand viewersNo. Their reports show totals only
Other agencies and brandsNo

At the stand

  • Every sale, promo item and game needs the shopper's phone number.
  • Say what it's for when you ask: "for your code by SMS", or "so we count you once".
  • Type it straight into the Promoter Portal. Don't write numbers down anywhere else.

8 of 10 · 3. Plans and payments

Plans, trials and limits

What the free trial includes, what each plan limit counts, and what happens when you reach one.

Agencies and brands each have their own plans. Prices are on the pricing page. Your own plan and how much of it you've used are in Plan & usage, which only admins can open.

The free trial

Every new agency or brand starts with a free trial of the plan it chose. You don't pay anything during the trial.

  • It lasts 14 days, unless you've been told otherwise.
  • During the trial, some limits are lower than the plan's own. By default: 2 active activations, 10 promoter accounts, 200 promo item SMS a month and 3 exports a month.
  • You can switch the trial to another plan at no charge.

When the trial ends without a plan being paid for, recording pauses until you pay. Nothing is deleted. See If a payment is late or your plan ends.

What plans limit

LimitWhat counts
Active brands (agencies)Brands that are active, not suspended or deactivated
Active campaignsCampaigns that are active or paused. Completed and cancelled ones don't count
Active activationsActivations set to Active. Drafts, paused, completed and cancelled ones don't count
Admins and managersAccounts that can sign in. Suspended or deactivated ones don't count
Promoter accountsThe same: suspended or deactivated promoters free up a place
Brand viewersUnlimited on every plan
Games per activationGames added to one activation
Promo item SMS a monthCodes sent to shoppers for samples, merchandise and prizes, and game links
Months of historyHow far back reports, sales and promo items go
Days of audit logHow far back the audit log goes

Some features also depend on the plan: Trivia and Mystery Box games need Growth or higher, and requiring two-step sign-in for everyone needs Pro or higher.

Exports (Excel and report PDFs) are unlimited on paid plans. Only the free trial has a monthly cap.

When you reach a limit

What you already have keeps working. You just can't add more until you:

  • free one up: for example, complete an activation that's over, or deactivate someone who's left;
  • buy an add-on: extra promoter accounts, admins and managers, active activations or active brands, without changing plan. See Buy add-ons and SMS;
  • buy an SMS pack, if the month's promo item SMS have run out;
  • or upgrade. See Choose or change your plan.

You're warned by email and in the app when you're near a limit, and when you reach one.

History

Your plan keeps a set number of months of history. A campaign or activation that ended before then is hidden from reports, but not deleted: moving to a plan with more history brings it back.

Enterprise

For larger teams, Enterprise plans have limits and features agreed with you. To talk about one, email support@momentsanalytics.com.

9 of 10 · 3. Plans and payments

If a payment is late or your plan ends

What happens, day by day, when a renewal isn't paid or a trial ends, and how to get going again.

Your work is never deleted because of a late payment. At worst, recording pauses until you pay.

Before the renewal

  • Paying by card with auto-renew on: the card is charged on the renewal date. You get a reminder before.
  • Paying by Mobile Money or bank transfer: you get reminders by email before the renewal date and on the day. Pay from Plan & usage.

If a renewal isn't paid

The usual timeline, counted from the renewal date:

Day 3A card renewal is tried againYes
Day 7The grace period startsYes
Day 14A final reminder: read-only tomorrowYes
Day 15The account becomes read-onlyNo: see below

Your Moments Analytics team may set different days. The banner always says how many days are left.

Getting going again

An admin pays for the plan in Plan & usage. As soon as the payment is received, everything works again. Promoters tap Check again, or reload the page. See Choose or change your plan.

If you cancel

You keep your plan until the end of the period you've paid for. After that, it works the same as a read-only account. You can reactivate before the period ends.

So it's sorted the first time

Tell us:

  1. Who you are: your name, your agency or brand, and your role.
  2. Where: which portal, and the page you were on.
  3. What happened: the exact message you saw. A screenshot helps.
  4. What it's about: the campaign or activation, and for a sale its transaction ID.

Never send a password, a sign-in code or a recovery code. Moments Analytics staff will never ask you for one.
